Outlook Contacts Creating a New Contact Group

Contact Groups are a way to organize the many Contacts you have created in the Outlook Contacts area. You might have thirty Contacts, with ten being family, ten being friends, and ten being work. You can create three Contact Groups that will organize these thirty Contacts. You can create a Contact group for "Family," another Contact Group for "Friends," and a third Contact Group for "Work." If you need to send an email to an entire group of family, friends or work, you only need to type the name of the Contact Group in the "To" edit box of the new email you are sending. Do the following activity to learn how to make a Contact Group. When you are finished move to the link at the bottom of this page titled "BACK" to go to the "Outlook Lessons" web page.

1. Open Outlook.

2. Press Control 3 to go to the "Contacts" area of Outlook.

3. Hit the Alt key one time. If you do not hear "Home" right arrow until you reach the Home tab of the ribbon.

4. Down arrow one time.

5. Right arrow one time and you will hear "New Contact Group."

6. Hit the Enter key one time and a New Contact Group dialogue box pops up, and you are in the "Name" edit box.

7. Type a name such as "Family" in the "Name" edit box.

8. Hit the Alt key one time and you should hear "Contact Group." If you do not hear "Contact Group," right arrow until you do.

9. Down arrow one time.

10. Hit the Tab key again-and-again until you hear "Add Members."

11. Hit the Enter key one time and there will be three menu items to choose from: "From Outlook Contacts, From Address Book, and New E-mail Contact." You will be on the "From Outlook Contacts." Hit the Enter key one time to select this item and a list of your Outlook Contacts will pop up.

12. Either type a first or last name, or down arrow until you hear the person you want to add to the Contact Group, and hit the Enter key one time.

13. Type a second name, or down arrow to the name you want and hit the Enter key one time.

14. When you have all of the names you want in your Contact Group, hit the Enter key two times after the last person you selected.

15. Press and hold down the Alt key and hit the letter s to save and close the Contact Group dialogue box. You now have a Contact Group with a name, and a group of people.

16. Down arrow through your Contacts list until you hear the name of the Contact Group you just made.

17. Hit the Enter key one time and the dialogue box for the Contact Group you just created will come up,

18. Hit the Tab key one time to move to the list of members for this Contact Group.

19. Down arrow through the members to be sure you have included everyone you wanted.

20. If you hear a name you did not want in this Contact Group, hit the Delete key one time and that name will be deleted from this Contact Group.

21. If you want to add another member, hit the Alt key, right arrow to the "Contact Group" tab of the ribbon.

22. Down arrow one time.

23. Hit the Tab key again-and-again until you hear "Add Members."

24. Hit the Enter key one time and be sure you are on the "From Outlook Contacts" item.

25. Hit the Enter key one time.

26. Type a name or down arrow to the name you want.

27. Hit the Enter key two times and that person will be added to the Contact Group.

28. Press Alt s to save and close, when you are finished adding or deleting members.

29. Practice the above, making more Contact Groups, until you are quick and accurate.
